New Canadian Encyclopedia fonds

The Canadian Encyclopedia fonds provide a comprehensive and detailed record of one of the largest and most important cultural undertakings in Canadian publishing history. The records are extensive, and detail the process involved in producing a large reference publication from the inception stage through to final publication.

The fonds consist of approximately 13 metres of records, excluding illustrative material that is to be returned to the Archives at a later date. The material was donated to the University of Alberta Archives in 1986, and original order was subsequently disrupted in the re-boxing of records from binders, filing cabinets, and closets for transfer to the Archives. As well, some of the records were still active and being consulted in preparation for the second edition publication of The Canadian Encyclopedia. The volume of records has meant that the fonds will be arranged and described in three phases. Phase one, which this inventory represents, involved a complete overview of the entire fonds, the restoration, where possible, of original order, and the file level description of six of eight series.

Within each of these series, sub-series designations were assigned to better organize and describe the records. Each series is further described in an introduction preceding the series listing. Original file titles, if they existed, were retained by the archivist in the description. A subject and name index is found at the back of the inventory to further assist in locating specific information.

These records have tremendous research value. The administrative and financial records provide a complete business history of the project. Based on correspondence, internal memoranda, meeting minutes, and monthly reports, etc. the researcher is able to better understand how the publication was planned, produced, and delivered to the public. The internal operation of The New Canadian Encyclopedia Publishing Ltd. are revealed through the procedures manuals and internal instructions which outline operating practices, guidelines, and editorial methodology. The files also provide an original and comprehensive picture of the publishing business from a Canadian perspective. The article and entry files contain samples of work by top Canadian academic experts. Because the editors were constrained by space and subject limitations, not everything they received could be printed in the encyclopedia. The files complement the published record, indicating how articles were edited, categorized, and sometimes cut altogether. Material, not published in the Encyclopedia, is retained in the files.

The fonds consists of two leather bound photo albums. The photos were taken during Cameron's research field trips into northern Alberta, Saskatchewan and British Columbia. Cameron usually performed the trips for the Department of Mining Engineering with senior students. The first album, titled University of Alberta, 1915 -1938, was created for the Department of Mining Engineering. The second album, Field Trips, for Research Council of Alberta, were taken in 1921 and 1930. The photos remain in the arrangement Cameron created and the captions inform the descriptions for each photo.

Chancellor and Senate fonds

The Chancellor and Senate fonds are among the oldest and most significant records in the University of Alberta Archives. These records document the very inception of the University when through the University of Alberta Act in 1906, the Senate was created as the sole governing body of the University of Alberta. At its first meeting in March 1908, the Senate set the policy for the opening of the University in September 1908. The focus and mandate of the Senate has changed in the ensuing years, but it remains an important component of the University landscape. The Senate represents the public face of the University, and functions with the understanding that "an ongoing relationship with the community is fundamental to the effectiveness of the University." The Chancellor and Senate records deposited with the University Archives span the period from the Senate's establishment as the governing body of the University, to its present functions within the University milieu. These records were received in numerous accessions over the past years, and although physically dispersed, are brought together intellectually in this comprehensive finding-aid to the fonds.

The records have been arranged within three broad series, and further arranged according to sub-series designations as well. Series 1 is the Chancellor and Senate Office administrative records, and include the Executive Officer files; Senate Office files related to Senate membership, correspondence, public relations, and financial matters; and Senate meetings. The meeting files are extensive, and fairly complete in terms of years represented. Early Senate meeting minutes were recorded in bound minute books and are complete from 1903 through 1970. Beginning in 1949, individual meeting files were maintained and contain agendas, minutes, related correspondence, and printed attachments related to specific Senate meetings. The Series 1 records present an excellent overall view of the day-to-day function of the Senate, and document its evolving role within the University of Alberta.

Series 2 records represent the Operational records of the Chancellor and Senate, and include those records related to the research and gathering of information, and the public presentation of this gathered knowledge. Sub-series within this broad series include Reports (usually ones presented to the Senate); Committees; Task Forces; and Hearings/Investigations/Commissions. The records are often quite linked within these sub-series; for example, an Ad Hoc Committee might be struck to consider a specific issue or topic, and this in turn may lead to the establishment of a task force to further develop and explore the topic, as well as prepare a comprehensive report on the findings. The Committee files document activities of the Senate standing committees and ad hoc committees, as well as joint University-wide committees with Senate representation. A particularly significant Senate activity involves the conferring of honorary degrees, and the Honorary Degree Committee files provide a wealth of information about the recipients of these degrees. Their files often contain biographical information about the recipient, nominating papers, photographs, and related correspondence. As the Chancellor is involved with all convocations, the Convocation Committee files also present a variety of information related to honorary degrees specifically, and convocation generally. There are often convocation programs, speeches, invitations, and planning documents. Within the Task Force sub-series, records concerning twenty-five task force investigations are represented, and arranged in their chronological order of establishment within the finding aid. The fourth sub-series of Hearings/Commissions/Investigations is a smaller set of records, and relates to broader University and public wide inquiries.

The final series of records relates to the Chancellors' papers. While information about the role of the Chancellor can be gleaned from all three series of records, this particular series focuses on the role of individual chancellors. Sub-series include Chancellor Installation ceremonies; Chancellor meetings; photographs; and the papers of individual Chancellors. The series is limited in that only nine individual Chancellors are represented (18 Chancellors have served the University between 1908 and 2008), and some of this information is sketchy and limited in scope. However, further information about individual Chancellors can be researched by consulting their private paper donations, or considering the correspondence files in Series 1.

The Chancellor and Senate fonds form a significant contribution to the documentation of the history and ongoing activities of the University of Alberta.

The fonds consists of 13.4 meteres of predominantly texutal records. The records document the activities of the Office of the Dean, committees, and general administrative files. All administrative operations and functions of a University faculty are documented. Included is information on committees, staffing, finances, scholarships, and the Dean's interactions with other Law faculties and associations, as well as with other administrators and offices within the University of Alberta. Files are usually arranged by subject and correspeondent within the context of a particular Dean. Within commiitees and general administrative files the records are divided by particular committees. The organizational structure includes the Faculty of Law Committees; Staffing records; Student records; Alumni; Facilities; Calendars; Examinations; and Publications. Within each of the headings, a basic chronological order is maintained.

J. Peter Meekison fonds

The Peter Meekison fonds document the professional career of an important teacher, researcher, and administrator who had a distinguished career with both the University of Alberta and the Provincial Government of Alberta for a period spanning nearly thirty years. His records contain material relating to both his teaching and administrative career at the University of Alberta, his work related to constitutional affairs for the Province of Alberta, and his role as a Commissioner on the Royal Commission on Aboriginal Peoples. The records, largely textual, have been arranged according to four fairly broad series. The first series contains records related to Professor Meekison’s academic pursuits, and include some of his student notes while in the Ph.D program at Duke University and his teaching and administrative files from the University of Alberta. Included with the UofA files are teaching and research files, Vice-President (Academic) administrative files, and files related to special projects, programs, and committees Dr. Meekison was committed to while at the University. The second series contains material related more generally to Peter Meekison’s professional career, which is relevant to both his research interests at the University, and his work with the Provincial Government. There are correspondence files, sorted into the Department of Federal and Intergovernmental Affairs chronological files, general correspondence files, and ‘people’ correspondence files. As well, this series contains records related to Meekison’s involvement with various professional associations and committees, his speaking engagements and attendance at conferences and workshops, and his writing and publication activities. Subject reference files maintained by Professor Meekison are included in this series, as well as his personal appointment books. Series three consists of Peter Meekison’s Constitutional material and is arranged according to an original color-coded file scheme applied when the files were current. The color-coded files include reports, briefing books, transcripts, and issues files related to various First Minister meetings, and committee meetings surrounding the constitutional reform discussions. Many of these files were created while Peter Meekison was Minister of Alberta Federal and Inter-Governmental Affairs and relate to the amending of the Constitution Act in 1982. A set of coded files is included in this series which addresses non-Constitutional issues his Ministry was dealing with. In his capacity as constitutional adviser to the provincial government post 1984, there is material related to the Senate Reform Task Force meetings, and the constitutional committee work leading to the Meech Lake Accord discussions and the 1992 Charlottetown Accord. Included in this series are numerous constitutional background material files which provide further insight into the constitutional process and debate. The final series consists of very complete records retained by Peter Meekison in his capacity as a Commissioner on the Royal Commission on Aboriginal Peoples (RCAP). The Commission was struck in 1992, and Meekison appointed to it in 1993. Included in the records are meeting minutes and documents, Intervener Participatory Program (IPP) submissions to the Commission, reports prepared for and by the Commission; policy team records, and background and reference files. The records are in excellent physical shape and because of their completeness and the broad span of years represented, provide valuable insight into issues facing Alberta and Canada in the 1980’s and 1990’s, as well as documenting University activities during this period and earlier.

The J. Peter Meekison fonds consists of records related to Professor Meekison's academic pursuits and his career at the University of Albera; his professional activities encompassing his research and writing files; constitutional material including Senate Reform Task Force records and Meech Lake Accord; and records of the Royal Commission on Aboriginal Peoples.
